SUBJECT:      2021 Annual Meeting

Each year, All Saints schedules its Annual Meeting on the first Sunday in February. In 2021, COVID-19 poses a challenge of how to hold our meeting without creating additional risk for our members. Council and staff deliberated for some time on how to safely hold the annual meeting and still conduct our official business. As a result, the meeting will occur in two parts, as outlined below:

Part 1 – Annual Meeting Information Session at Noon, February 7, on Zoom - The information session, held on Zoom (a web-based virtual meeting platform) will highlight key report items, including All Saints’ year-end financial status, an overview of the 2021 Proposed Budget and the slate of nominees for three Council seats, as well as for delegates to the Synod convention (which will occur online this year). You will be able to nominate candidates from the floor and you will have ample time to ask questions on anything in the Annual Report or the online presentations.  We encourage you to read the attached Annual Report prior to the meeting.  You may participate in the meeting using any internet-capable device with a webcam, or by telephone.  No special apps, accounts, or software are required.  To receive the web link for the meeting, please send an email to Pastor Kristin (krice@allsaintsphoenix.org) with the words “Annual Meeting” in the subject line or click on the sign in form to the right of this letter.  If you plan to join the meeting by phone, please call the church office at (602) 866-9191 to receive the call-in number.

Part 2 – Vote by Mail – Under Arizona law, non-profits – including churches - are prohibited from voting on action items during member meetings held online or electronically.  Soon after the Zoom meeting, you will receive a ballot in the mail for each voting member of the congregation living at your address. The ballot will request approval of the 2021 Budget, voting to fill three upcoming Council vacancies, and for candidates to attend the 2021 synod convention.  Please complete and return the ballot as soon as you are able.  All Saints must receive a minimum of 46 completed ballots in order to meet our quorum requirements. While you are not required to attend the Zoom meeting in order to vote, we hope you will participate.

Unfamiliar with Zoom?  Many of our members are now using Zoom and finding it to be relatively painless!  For those less familiar with virtual meetings, we will walk you through some basics at the beginning of our session.  You may want to log on 15 minutes early in order to get the lay of the land and work out any kinks; our tech team will be there to greet and assist you!  Staff are also available if you’d like to practice before the meeting day to get comfortable with the technology.

Drive-Through Offering Our normal drive-through offering will occur from 9 AM to 11 AM on February 7 as usual. Relief offering recipients will be Desert Mission Food Bank/W.H.E.A.T.
